    SAP BusinessObjects Live Office: Creating a Real-Time Project Cost Accounting System

    Sedgwick County is a county in the state of Kansas serving a population of 511,995. The county’s Public Works department maintains roads and bridges with a $31 million operating budget and a $91 million five-year capital budget. The department spends most of its resources on projects, making precise and granular cost accounting of project activities crucial. The old system for Public Works was labor intensive, untimely, and prone to error. The department identified an off-the-shelf project cost accounting system and initiated the purchasing process. The Sedgwick County IT department proposed a solution using SAP® BusinessObjects™ Live Office, and Public Works has successfully used the new system for over a year.

    Session attendees will learn the steps taken to transform database records into accounting metrics that meet the auditing requirements of Federal Emergency Management Agency (FEMA) and Kansas Department of Transportation (KDOC).

    Attendees will also learn how to create information sets in SAP ERP and connect them to two additional databases for a full cost accounting of labor, equipment, and material via a multi-source universe and how to perform critical financial calculations to preserve data lineage and maximize transparency in the data flow.

    To process more than 30,000 invoices each month, the Johns Hopkins accounts payable shared services team needed a solution that would enable it to autopost as many invoices as possible for two very different organizations: the university and its medical centers. Learn how the team was able to quickly deploy a solution that worked seamlessly with the institution’s chosen invoice scanning provider and health care exchange to improve the speed, accuracy, and transparency of invoice processing, enabling it to autopost thousands of invoices each month and develop a strategy to reduce the large number of duplicate invoices the institution received.

    New sales tax laws have gone into effect after the U.S. Supreme Court’s landmark ruling in the South Dakota vs. Wayfair Inc. case in June 2018. This ruling changed the requirement of sales tax collection liability from a physical presence nexus to an economic nexus, which is based entirely on sales revenue and/or transaction volume. This ruling is leaving remote sellers scrambling to figure out where they may need to register to collect and remit sales tax on out-of-state transactions.     In this session, you’ll learn about and discuss possible integration scenarios of SAP S/4HANATM Predictive Accounting with SAP Predictive Analytics.

    One of the major open questions in Predictive Accounting is the relation to Predictive Analytics. Integration use cases arise in situations when necessary information usually triggering Predictive Accounting simulations isn't available in the system yet and thus cannot be handled by regular Predictive Accounting procedures. The missing information needs to be predicted through other means, such as SAP Predictive Analytics.

    Along with participants, we will review possible prediction scenarios requiring data from both information sources. We also discuss how and where this integration will be implemented at best—on the reporting level or on the level of data, i.e. financial postings.

    Why a Treasury Management System (TMS) Is Not Enough

    The typical treasury management system (TMS)—SWIFT connected, multiuser, and loaded with functionality—is a marvel of modern technology. There are few tasks in treasury that cannot be made efficient through the use of a TMS, and there are very few sophisticated treasuries without one. Yet many of these same treasuries also integrate specialist solutions for bank account management, foreign exchange, payments, and other tasks with their TMS. From a technology standpoint, this is a simple matter. From a business perspective, this suggests that many treasurers see superior functionality beyond what’s offered in their TMS.

    Dirk Schreiber, group treasurer at Fresenius, had a need for sophisticated payments processing and made the case for a specialist solution. The resulting combination of a TMS and TIS smart payments has given Fresenius more than the sum of the two parts.

    Fresenius is a company with annual sales of over €33 billion from operations in more than 160 countries and more than 90 production facilities. Legacy treasury operations were decentralized with separate and unconnected systems installed at many company operations. Change was required, and Fresenius took the first step in a journey to integrate cash management, improve controls, and increase cash visibility while reducing the number of banking systems used.

    Central Finance Tax Reporting and External Tax Engines

    When FI and CO documents are replicated from source systems to a Central Finance system, tax-relevant data is also replicated. With central payment, it becomes necessary for some tax-relevant postings to be made in the Central Finance system. As a result, tax reporting must also be carried out in the Central Finance system, based on the documents in the Central Finance system, whether they have been replicated to the system from a source system or posted there directly.

    Customers using central payment functionality having the same external tax calculation in source and target is currently not supported. The reason for the restriction is the fact that in the central payment scenario cash, discounts and payment differences in the central finance system would lead to errors.

    Month-end close seems to last far too long and with manual processes, it often does. In July 2017, Lincoln Electric System (LES) completed its close by the second Friday of each month, which was then followed by a one-week close for two additional entities. This lengthy process left little time for reconciliations, projects, or vacations—not an ideal situation for the accounting team. Although the LES accounting team was able to get the work done, it was tedious, and the staff had less than two years of tenure and no prior SAP experience. So they went on a journey to try to reduce time and increase productivity. In this session, you will hear how LES has been able to eliminate a week of this close process through employee empowerment, a focus on continuous improvement, the implementation of Excel4apps’ GL Wand and GLSU, and the redistribution of workload. Change isn’t always fast, easy, or always successful, but creating a culture that embraces it can make it meaningful.

    Empowering Managers with Self-Service, Real-Time Financial Reports

    The merger of seven councils within Auckland led to the formation of the largest council in the Southern Hemisphere, serving a population of 1.5 million. A major challenge for this new council was delivering reporting to around 1,000 managers working in very diverse areas—from park rangers to IT project managers, engineers, and building inspectors.

    Initially, reporting was delivered via static paper reports monthly which had several issues, including no real-time view, no ability to drill down and analyze data, inability to import data into other systems, and there was no way to prevent overspending prior to or as it occurred.

    In this presentation, Dan will walk attendees through how Auckland Council advanced and achieved real-time reporting and dashboards with drill-down analysis using SAP® BusinessObjects™.

    In this session, you’ll learn about and discuss possible integration scenarios of SAP S/4HANATM Predictive Accounting with SAP Predictive Analytics.

    One of the major open questions in Predictive Accounting is the relation to Predictive Analytics. Integration use cases arise in situations when necessary information usually triggering Predictive Accounting simulations isn't available in the system yet and thus cannot be handled by regular Predictive Accounting procedures. The missing information needs to be predicted through other means, such as SAP Predictive Analytics.

    Along with participants, we will review possible prediction scenarios requiring data from both information sources. We also discuss how and where this integration will be implemented at best—on the reporting level or on the level of data, i.e. financial postings.

    Organizations have made many attempts to improve their invoice-to-pay process with multiple vendor interviews, but it typically results in little to no change. Projects begin with a simple “OCR of invoices” and quickly mushrooms to the size of the ocean and each time people try to boil it down, a realization of the project sets in.

    American Sugar Refining (ASR) Group set off on a journey to discover and fix the issues with its invoice-to-pay process. It had a goal of creating a less manual, more effective process, while avoiding late or reactivation penalties and service interruptions.

    In this session, ASR will walk you through its accounts payable automation and how its restarted the process with the crawl-to-walk-run mentality, what the teams discovered once they mapped out and analyzed their value stream, and the changes it has had on the company’s overall invoice-to-pay process and organization.

    When FI and CO documents are replicated from source systems to a Central Finance system, tax-relevant data is also replicated. With central payment, it becomes necessary for some tax-relevant postings to be made in the Central Finance system. As a result, tax reporting must also be carried out in the Central Finance system, based on the documents in the Central Finance system, whether they have been replicated to the system from a source system or posted there directly.

    Customers using central payment functionality having the same external tax calculation in source and target is currently not supported. The reason for the restriction is the fact that in the central payment scenario cash, discounts and payment differences in the central finance system would lead to errors.

    When Vistra Energy wanted to move to a cloud solution, it partnered with Paymetric to streamline and secure its enterprise commerce. Vistra Energy knew the risks of hosting card data on-premise and worked with Paymetric to implement a cloud solution with tokenization that removed the sensitive data from its environment, thus lowering its risk of a data breach.

    This transition improved Vistra Energy’s entire payment ecosystem by streamlining payments across multiple sales channels to one open integrated platform, making collections faster and easier. It is also now passing pinless debit data directly to its processor as well as experiencing a cost saving on Level 2 and Level 3 data interchange fees.

    Vistra Energy has made multiple acquisitions over the past few years. As a growing organization, it was looking for an SAP-integrated payment security provider that could help streamline the onboarding of newly acquired disparate payment systems.
